It is important to keep a check on expenses. Organizations generally prepare the Profit & Loss budget which a management wants to track. Similarly, a working capital budget is also important to plan funds on a timely basis.

On the basis of the P&L budget and the working capital budget, a Balance Sheet is prepared. In the nutshell, budget helps in effective business planning and prepares a business for any upcoming challenges.

Suggest a routine usually followed for an efficient handling of incoming physical (paper) mail in a large organization.

Answer»

The following procedure is usually followed in handling of incoming paper mail if received physically:

1. Receiving Mail: Mail is delivered once or twice a day by a Postman while mail from special messengers or courier companies keep pouring throughout the day.

2. Sorting Mail: After receiving the mail, it is necessary to sort the received mail so that mail marked as Private, Personal, Secret, Confidential etc. are not opened.

This type of mail is directly delivered to the person concerned unopened. Important mail viz. court summons, tenders, confidential reports etc. is sorted out from the routine mail to accord priority in opening. Routine mail consisting of sales letters, catalogues, product literature etc. are opened at last.

3. Opening Mail: A paper knife is generally used for opening envelopes. In case of large mail, a Letter Opening Machine is helpful as it improves efficiency and opens the mail neatly.

While opening an envelope, it should be ensured that:

  • contents of the envelope are not damaged.
  • before disposing off the envelope, nothing is left inside the envelope.
  • enclosures are fastened if they are not properly tagged.

4. Examining Contents and Stamping Mail: After opening the mail, a Secretary should briefly examine its contents. Examining of contents is done to again sort out the mail which needs immediate action so as to accord priority.

All the mail received is date-stamped to authenticate receiving of the same in the organization. It can be done with the help of a Rubber Stamp or an Automatic Numbering & Dating Machine.

A specimen of date stamping is:

M/s Concept Technology, New Delhi

Date____

Time ____

Diary No. ____

Signature ____

5. Recording Mail: Incoming Mail Register is also called Diary Register or Dak Register. Recording of mail helps in tracing out any received letter at a later date. The Incoming Mail Register also has a column viz. Date of Reply to ensure that all the received mail has been attended to.

6. Distributing Mail: The recorded mail is segregated department-wise and immediately distributed to the concerned departments by a peon or messenger.

7. Follow-up Action: Every incoming mail which needs a follow up action should be quickly attended to by the concerned official. In business houses, it is ensured that every mail received should be disposed- off within maximum 3-4 days, wherever possible.

27446.

A closely wound solenoid of 800 turns and area of cross section 2.5 × 10−4 m2 carries a current of 3.0 A. Explain the sense in which the solenoid acts like a bar magnet. What is its associated magnetic moment?

Answer»

Number of turns in the solenoid, n = 800
Area of cross-section, A = 2.5 × 10−4 m2
Current in the solenoid, I = 3.0 A
A current-carrying solenoid behaves as a bar magnet because a magnetic field develops
along its axis, i.e., along its length. The magnetic moment associated with the given current-carrying solenoid is calculated as:

M = n I A
= 800 × 3 × 2.5 × 10−4
= 0.6 J T−1

27447.

Two coils, A and B, have self inductances of 120μH and 300 μH respectively. A current of 1 A through coil A produces flux linkages of 100μWb turns in coil B. Calculate (i) the mutual inductance between the coils (ii) the coupling coefficient and (iii) the average e.m.f. induced in coil B if a current of 1 A in coil A is reversed at a uniform rate in 0.1 sec.

Answer»

(i) M = (flux-linkages of coil B)/(current in coil A) = (100 x 10-6)/1 = 100 μH

(ii) M = k√(L1L2)

∴ k = M/√(L1L2) = (100 x 10-6)/√(120 x 10-6 x 300 x 10-6) = 0.527

(iii) e2 = M × di/dt = (100 × 10−6) × 2/0.1 = 0.002 V or 2 mV.

27448.

Two coils are wound side by side on a paper-tube former. An e.m.f. of 0.25 V is induced in coil A when the flux linking it changes at the rate of 103 Wb/s. A current of 2 A in coil B causes a flux of 10−5 Wb to link coil A. What is the mutual inductance between the coils ?

Answer»

Induced e.m.f. in coil A is e = N1(dΦ/dt) where N1 is the number of turns of coil A.

∴ 0.25 = N1 × 10−3

∴ N1 = 250 Now, flux linkages in coil A due to 2 A current in coil B = 250 × 10−5

∴ M = flux linkages in coil A/current in coil B = 250 × 10−5 /2 = 1.25 mH

27449.

(a) A coil of 1000 turns is wound on a torroidal magnetic core having a reluctance of 104 AT/ Wb. When the coil current is 5 A and is increasing at the rate of 200 A/s, determine. (i) energy stored in the magnetic circuit (ii) voltage applied across the coil Assume coil resistance as zero. (b) How are your answers affected if the coil resistance is 2 Ω

Answer»

(a) L = N2/S = 10002 /106 = 1 H

(i) Energy stored = 1/2LI2 = 1/2 x 1 x 52 = 12.5J

(ii) Voltage applied across coil= self-induced e.m.f. in the coil = L.dI/dt = 1 × 200 = 200 V

(b) Though there would be additional energy loss of 52 × 2 = 50 W over the coil resistance, energy stored in the coil would remain the same.

However, voltage across the coil would increase by an amount = 5 × 2 = 10 V i.e., now its value would be 210 V.

27450.

Two coils having 30 and 600 turns respectively are wound side-by-side on a closed iron circuit of area of cross-section 100 sq.cm. and mean length 200 cm. Estimate the mutual inductance between the coils if the relative permeability of the iron is 2000. If a current of zero ampere grows to 20 A in a time of 0.02 second in the first coil, find the e.m.f. induced in the second coil.

Answer»

Formula used : M = N1N2/(l/μ0μrA)H, N1 = 30, N2 = 600; A = 100 x 10-4 = 10-2m2, l = 2m

∴ M = μ0μr A N1N2/l = 4π × 10−7 × 2000 × 10−2 × 30 × 600/2 = 0.226 H

dI1 = 20 − 0 = 20 A; dt = 0.02 s;

eM = MdI1/dt = 0.226 × 20/0.2 = 226V
